A meeting agenda communicates important information and informs all attendees what subjects will be discussed in the meeting. It lets attendees know the parameters & boundaries and prevents staying on track. Most importantly, the meeting agenda gives a sense direction & helps people prepare for the meeting as it will clearly state is prep work is advised.

How to prepare prior to a meeting is to gather or create a checklist which works best for you. Once this is created and making sure that key points are included this you can tick off what is done and look into what is not. Below are some of the points I have included in my checklist.
Decide the type of meeting you are going to have
This could be Informational, Creative, Decision, Motivational
Determine the roles and ask those participants accept them
The roles are the following: chairperson, secretary, individuals
Prepare a notice, this should include the date, time, agenda, and venue of the meeting
Distribute the notice to the members in good time for the meeting.
Attach any other useful information
This could be minutes from previous meeting. Attach sheets if any for meeting topics to allow the participants enough time to read other and take notes about the topics they would like to share on.
Get basic items in place
Set out chairs and tables before the meeting begins. Provide pens, paper as well to allow others to and snacks and beverages (if required)
