These documents can provide information like problems with existing systems, organizational direction that can influence information system requirements, and reasons why current systems are designed as they are. These provide a stronger understanding of the current system and what improvements can be made in the newer system.
A more modern technique that will help to ensure that information is gathered successfully is a joint application design (JAD). JAD is an intense and structured meeting of all the key personnel involved with the system. A JAD gathering is typically composed of numerous user experts, a lead facilitator, users, managers, system analysts, a scribe and sometimes an assistant. JADs have well structured agendas and encourage everyone involved to participate. JAD sessions are typically held in rooms specially designed for meetings where participants sit at horseshoe-shaped tables. Other visual aids are displayed thought the room such as whiteboard, flip charts, and computer-generated displays. A JAD can last from 4 hours to a week, and are usually conducted away from the work site and “the end result of a completed JAD is a set of documents that detail the workings of the current system and the features of a replacement system” (Valacich, p. 138).
