There need to be filing systems in place that are easily recognisable and that allow people to find things quickly and accurately. Filing systems may be manual or computerised. Hospitals give patients a number to identify them and this can be found on all their relevant documentation. This is so that their medical notes can be easily traced. Their case notes are normally kept on a computer. Many workplaces have a computerised system and everyone who accesses the system must follow clear procedures. Files should be accessed through special programmes. The programme we use in my hospital is SystmOne which is specifically written for record keeping in health and social care.
