Duties to Perform before Patients Arrive

As a medical assistant you should arrive to work a little earlier than the patients to get the office prepared for the day. First, you should check the answering machine for any messages that was left overnight and record those messages in the message book. After recording the messages, pull the patient’s records and look over them to retrieve any information for the patient and follow-up with them. Second, you should make two copies of the appointments for the day and place one on the physician’s desk. If by any chance there are more than one physician at the office make sure each physician gets a copy of the appointments for the day. Once you have given the physician’s their copy take your copy and go pull all the medical records that are needed for the day. Always make sure when you pull the medical records to put them in a secure location where other medical assistants can get to them also. You can also look over the medical records from previous visits to see if the patients had lab work done and if the results are ready for the physician. You should go check all of the exam rooms to make sure they are stocked with the necessary supplies. Those supplies would concise of gowns, gauze pads, bandages, and cotton balls. Also, make sure to check bathrooms to see if they are clean and have enough supplies in them. Those supplies would concise of toilet paper, hand soap, paper towels, and hand sanitizer. Some doctor offices keep urine specimen cups in the restrooms. If your doctor’s office has the urine specimen cups in the restrooms make sure there is enough to last for the day in each restroom. Last but least, make sure your reception area is clean and neat and should have proper lighting, just in case your patients want to read a book
